Use Lockers
Create an event and choose who can see it
Use the New event sheet to add a one-session event or start a multi-session draft on Pro, and choose who can attend and who can open the page.
The short version
- Owners and admins select New event on Calendar. A one-session event is published the moment you select Create event, and members get a notice.
- On Pro, Add sessions saves a draft and opens the schedule builder, and you publish it from the Review step when the schedule is ready.
- Access settings decide who the event is for and who can open its page.
Who can do this
Owners and admins create, edit, and delete events. Moderators and members cannot, although members can open any published event and register or get a ticket from its page.
Creating or changing an event is a protected change, so Lockers asks you to confirm your identity with your authenticator app first. If you have not set one up, the change stops with Set up an authenticator to make this sensitive change, and the Security page takes you through setup.
Create an event
- 1
Open the sheet
Open your community, select Calendar, then select New event. The New event sheet opens on the right side of the screen.
- 2
Name the event
Enter a Title. Titles can be up to 140 characters.
- 3
Choose how it happens
Under How it happens, pick Live room, In person, Hybrid, or External link. In person asks for the Venue and optional Directions. Hybrid asks for the Venue, then Live room or A link under Online people join in. External link asks for the Meeting link, which must start with https://. Only people who can attend see it, as Open link in the Where card on the event page. Live room, and Hybrid with the Live room, add a Record switch that starts on.
- 4
Set the time
Under When, pick the Date and the Starts time, then a Length of 30 min, 1 h, 90 min, or Custom with its own end time. Choose the Time zone. Members see times in their own zone.
- 5
Add a cover
Under Cover (optional), drop in or upload an image, or pick one of the four patterns. A 16:9 image works best. An uploaded image counts toward your Locker's tracked storage, and the patterns use none. Pick the cover here, because the builder's steps have no cover setting.
- 6
Check who can come
The line above the buttons reads You host, followed by who can attend, such as Members can attend. Select Access settings to change it. The section on who can attend, below, covers each choice.
- 7
Create it
Select Create event. The event is published, active members get a notice, and the event page opens with a Published banner and Copy link.
Who can attend and who can see the page
Access settings in the New event sheet, and the Settings step in the builder, hold two questions. Who is this event for? has these choices:
- Members only: only community members can register and join.
- Members, plus guests who register free: guests sign up with a free Lockers account and do not join the community.
- For a paid event where members attend at no cost, choose Members come free. Guests buy a ticket. Each guest pays once at checkout, and one ticket covers the whole event.
- Everyone buys a ticket: members pay the same price as guests. This choice appears only in a community that is free to join.
Start a multi-session draft on Pro
Until you publish, only you and admins can see the draft. Drafts sit under the Drafts tab on Calendar, and Continue on a draft reopens it in the builder.
- 1
Start a draft
In the New event sheet, fill in the Title, the Date, and the Starts time, plus the Venue or Meeting link your format asks for. Select Add sessions. Lockers saves a draft and opens the schedule builder at the Schedule step, with the first session already on it.
- 2
Build the schedule
Add days, tracks, and more sessions. Plan sessions and choose hosts covers each part of the builder.
- 3
Review and publish
Select Review and publish in the top bar when the schedule is ready. Review, publish, and announce an event covers the checklist, the preview, the Community announcement, and Publish event.
What members see
When you publish, active members get a notification that starts with New event, and the event stays under Upcoming on Calendar until about an hour after it ends. Register for an event covers what a member does from there, including the pass and email reminders.
Edit or delete an event
Select Edit on the event page to open the builder, where each change saves on its own and the top bar shows Saved. Change or cancel an event after publishing covers changes to a published event and deleting one.
If it does not work
After you select Create event, the sheet shows what is missing under each field, such as Pick a date or Add the venue or address. For messages from outside the sheet, such as Only community staff can manage events, see Troubleshoot events.
