Change or cancel an event after publishing
Edit a published event's details, sessions, access, or price, or delete it, and see what each change does for the people who registered.
The short version
- Select Edit on a published event to change it in the builder. Each change saves on its own and shows on the event page once it saves.
- People stay registered through edits, and their email reminders follow new session times. Lockers sends them no message about a change, so tell them yourself.
- To call off the event, choose Delete event in the Event actions menu. Deleting refunds no one, and the owner refunds ticket holders from Orders and refunds.
Before you start
- You are the owner or an admin, and your authenticator is set up. Changing an event is a protected change, so Lockers asks you to confirm your identity with your authenticator app.
- Each change saves as you make it. On a published event, the Review step shows It's live, with nothing more to publish.
Change the details, venue, or link

Open the builder
On the event page, select Edit. A one-session event opens at the Details step, and a multi-session event opens at Schedule.

Edit the event
On Details, change the Title or Description. In-person and hybrid events also show Venue and Directions (optional), and events that use a link show Meeting link. Each field saves when you click away from it, and the top bar shows Saved.

Edit a session
On Schedule, select a session to open Edit session. Changes to its Title, Hosts, and Description (optional) save a moment after you make them. Select Done to close the panel.
Move the date or time
An event's dates come from its sessions. For a one-session event, select Edit and change Date, Starts, and Ends on the Details step, on Free or Pro; moving the date or the start keeps the event's length. For a multi-session event, move each session on the Schedule step, and the event's dates follow.

Open the schedule
Select Edit on the event page, then select Schedule in the top bar.

Change the time
Select the session and change Starts and Ends in Edit session. Ends has to be later than Starts, or the panel shows End time must be after the start time.

Change the day
Pick another date under Day, which lists the days already on the schedule. Add day puts the day after the last one on the schedule, so select it until the date you want appears.
What a new time means for registered people
- Everyone stays registered, and every pick stays as it was.
- Email reminders follow the new time. The day-before email goes out about 24 hours before the new start, so there is none when the new start is closer than that. Each 15-minute reminder and starts-soon notice goes by its session's new start.
- Reminder emails are written when they go out. They show the current title and time, and people attending in person also get the current venue and directions.
- Entries people saved earlier with Add to calendar keep the old time. The Google Calendar link and the .ics file are one-time copies, so ask people to add the event again.
- The New event notice members got when you published still shows the original time.
- If you announced the event, its card in the post shows the new date. The post text stays as written, and the suggested text names the day, so open the post's More options menu and choose Edit post.
Add or delete sessions
On Pro, select Add session on the Schedule step, or click an empty slot in a track. People who registered earlier keep their picks, and the new session is not starred for them. They get its 15-minute reminder once they star it in the Agenda. People who register afterward get it starred unless it starts at the same time as another session.
Changing a session's Kind to Break takes it off everyone's My schedule, because a break cannot be picked.

Open the session
On the Schedule step, select the session you want to call off.

Delete it
Select Delete session, and a dialog titled Delete this session? explains that the session comes off the agenda and that people who picked it lose it from their schedule. Select Delete session again to confirm.

Check the agenda
The session is gone from the agenda and from every My schedule, and its 15-minute reminder no longer goes out. Its chat and attendance records are deleted with it, and there is no undo.
Change who can come or the price
Select Edit, then Settings. Changes to Who is this event for?, Who can see the page?, and Ticket price save as you make them, and the ticket choices need payments set up first. What happens to people who already registered depends on how they got in.
- Ticket holders keep their ticket through every access or price change. A new Ticket price applies to new buyers, and Lockers does not charge or refund the difference.
- Guests who registered free keep their place when you switch to Members only or start selling tickets.
- Members keep their place in a paid-membership community, and in a free community while members attend free.
- In a free community, switching to Everyone buys a ticket removes access for members who registered at no cost. They lose their pass and their reminders, and the event page offers them Get a ticket with the price.
- Switching a free event to a ticket choice turns the Event wall on. Turn it off under Also on the Settings step if you do not want it.
What waits until a session ends
A session is live from the moment someone selects Go live until it ends. While it is live, its Day, Starts, Ends, Kind, and on a hybrid event Where it happens stay as they are. A change to any of them shows End the live session before changing its format or schedule.
Its Title, Hosts, and Description (optional) still save, and so do the event's details, access, and price. The Record automatically switch is locked from the moment the session starts, with the note Recording settings lock once the session starts.
Deleting a live session, or the event it belongs to, ends the room for everyone in it.
Cancel the whole event
Calling off an event means deleting it, and Lockers sends no notice to the people who registered. Save the list and reach them before you delete.

Save the list
Open the People tab and select Download CSV. The file has each person's name and email, and you cannot download it after the event is deleted.

Tell people
Email the people in the file, and post in Community for members. The Event wall is deleted with the event, so a post there disappears too.

Delete the event
On the event page, open the Event actions menu beside Edit and choose Delete event. The Delete this event? dialog warns that the event comes off the calendar for everyone with its sessions and registrations, and that purchases are not refunded automatically. Select Delete event to confirm. There is no undo.

Refund ticket holders
The owner opens Admin, Sales, Payments and finds each ticket under Orders and refunds. Select Refund payment, check the Refund amount (USD), and select Issue refund. Ticket payments stay listed there after the event is gone.
What deleting removes
- The event page and its sessions, with every registration and pick.
- Access to the event for guests and ticket holders.
- Posts on the Event wall, and each session's chat and attendance records.
- Reminder emails that have not gone out, and notices about the event in people's notifications, such as New event.
If it does not work
- End the live session before changing its format or schedule. The session is live. Change its time, Kind, or Where it happens after it ends.
- The last session cannot be deleted. Delete the event instead. The event has one session, so delete the whole event from the Event actions menu.
- Multiple sessions require Pro. Existing sessions can still be edited. Your Locker is on Free, so Add session and Add day are off. To move a one-session event, change Date, Starts, and Ends on the Details step instead.
- The date you want is not under Day. The list holds the days already on the schedule, and Add day adds the next one. For a one-session event, change Date on the Details step.
- Check the start and end times. Ends is not later than Starts. Fix the times in Edit session, and the change saves.
- There is no choice for How it happens. An event keeps the format it was created with, so use New event on Calendar for an event in another format.
- Confirm your identity to make this sensitive change: finish the authenticator prompt, then make the change again.
- Members lost their pass after an access change. In a free community, Everyone buys a ticket removes access for members who registered free. Their registrations come back when you pick the choice that starts Members come free.
- Only the owner of this Locker can manage selling and refunds. Ask the owner to issue the refund.
- A buyer kept access after a refund. A partial refund keeps the ticket, and refunding the entire payment removes it.
- We could not delete that event. Check your connection and choose Delete event again.
