Use Lockers
Plan sessions and choose hosts
Build a multi-session event on Pro with days, tracks, and sessions, then set each session's hosts and recording and see how breaks and deletions change people's picks.
The short version
- Multi-session events are part of Pro. Add sessions in the New event sheet saves a draft and opens the schedule builder.
- The builder lays days side by side with a lane for each track, up to four, and every change saves on its own with Saved in the top bar.
- Each session can have up to six hosts, and every host must be an active member of your community.
Before you start
You need to be the owner or an admin, with your authenticator set up. You can build the schedule without Live hosting. Going live in the Lockers Live room, and recording a session, still need Pro and the Live hosting add-on.
Open the schedule builder

Start from New event
On Calendar, select New event, fill in the Title, Date, and Starts time, and select Add sessions. Lockers saves a draft and opens the builder at the Schedule step, with the first session on the grid. For an event you already have, select Edit on its page and open the Schedule step.

Check where it happens
The Where it happens strip at the top shows the venue and the online option, set once for every session. Select Edit on the strip to change the venue or the meeting link on the Details step.

Add days
Select Add day to put an empty day after the last one, then add a session to it. A day with no sessions is not saved, so it disappears when you leave the builder.

Add tracks
Select Add track to run sessions side by side. The first lane is Main, the tracks you add are named Track 2, Track 3, and Track 4, and four is the most an event can have.

Rename a track
Select the pencil beside a track name, type the new name under Rename track, and select Rename. Names can be up to 40 characters, and two tracks cannot share a name.

Add a session
Click an empty slot in a track to add a session at that time, in 15-minute steps. Add session puts one in the first track, after the last session of the first day. A new session starts as a 45-minute Talk called New session, and its panel opens beside the schedule.

Fill in the session
In the panel, set the Title, the Kind (Talk, Workshop, Panel, Q&A, or Break), the Day, Starts and Ends, and the Track when the event has more than one. Under Hosts, search with Add a host from members to add up to six people. Add a Description (optional) of up to 600 characters.

Choose where it happens
On a hybrid event, pick In person + online or Online only under Where it happens. People at the venue join an Online only session from their own device.

Set recording
Record automatically starts from the Record new sessions switch on the Settings step. You can turn it on or off for each session until the session starts.

Finish
Select Done to close the panel. Each change saves on its own, and the top bar shows Saved.
How hosts, breaks, and recording work
- Hosts show on the agenda and the stage. In the Live room they can use camera and microphone, and everyone else watches and uses chat.
- If a session has no hosts listed, the person who created the event hosts it.
- Only the owner or an admin can select Go live or End session, and whoever goes live is added to that session's hosts.
- Kind is a label on the agenda, and Break is the only kind that changes how a session works. A Break spans every track, has no live room, is never recorded, and cannot be picked. Its panel holds only the title, kind, day, and times.
- Record automatically works only when the event uses the Live room and Live hosting is active. Otherwise the panel reads Recording needs a Live room.
- Once a session starts, its recording setting is locked. While it is live, you cannot change its time, its kind, or where it happens.
Same-time sessions and people's picks
Sessions that start at the same moment, in any track, are same-time sessions. The panel shows a Same time as note naming the other session, and the agenda marks them Same time.
When someone registers, Lockers stars every session for them except same-time ones, and they choose one from each group with Pick this one. Sessions that overlap but start at different times both stay starred.
A session you add after people register is not added to their schedules. They star it on the agenda if they want it.
Delete a session
Open the session, select Delete session, and confirm Delete this session? It comes off the agenda, and people who picked it lose it from their schedule. Its chat and attendance records are removed with it, so the People tab stops counting joins to it. Deleting a live session ends it first.
Changing a session's Kind to Break also removes it from everyone's picks. An event keeps at least one session, so to remove the last one, delete the event from the Event actions menu on its page.
Session length
Your Live hosting bundle sets the longest a Live room session can run: 2 hours on Live, 3 on Live Plus, and 6 on Live Max. The room ends at that limit, so split a long block into two sessions with a break between them.
If it does not work
- Multiple sessions require Pro. Existing sessions can still be edited. Your Locker is on Free.
- Add track is greyed out: the event already has four tracks.
- Choose up to six active members of this community as hosts. A host left or was removed, or the session already has six.
- End time must be after the start time. Move Ends later than Starts.
- Recording needs a Live room. The event uses In person, External link, or Hybrid with a link, or Live hosting is not active for your Locker.
- Change recording settings before starting the session. The session has already started.
- End the live session before changing its format or schedule. The session is live right now.
- The last session cannot be deleted. Delete the event instead, from the Event actions menu on its page.
- Use up to four unique track names of 40 characters or fewer. Another track has that name, or the name is too long.
- Not saved shows in the top bar: read the message above the schedule, such as Give the session a title or Check the start and end times, and fix that field.
