Troubleshoot events
Match what you see on an event to its cause and fix, from Pro and Setup badges to greyed-out ticket choices, locked changes, time zones, and missing announcements.
The short version
- Add sessions needs Pro, and the Live room tile needs Pro plus an active Live hosting add-on.
- Ticket choices open once the owner finishes payment setup, and guests can register only when the event admits guests on a page set to Anyone with the link or Listed publicly.
- Ticket holders cannot cancel from their pass, and hybrid attendance locks when the event starts.
- Add to calendar saves a copy, so changes you make later do not reach people's calendar apps.
Before you start
Only the owner and admins can create or change events, and Lockers asks you to confirm your identity with your authenticator app before it saves a change. If a change stops with Confirm your identity to make this sensitive change, finish that prompt and try again. Set up an authenticator to make this sensitive change means you have no authenticator yet, and the Security page takes you through setup.
In the New event sheet, each problem shows in red under its field after you select Create event. In the builder, the top bar switches from Saved to Not saved, and a red bar under it gives the reason. Fix the field, and the next save clears the message.
Create event looks greyed out
Create event stays dim until the sheet has a Title and a Date, and the line under it reads Add a title and a date to create it.
You can still select it. The sheet then moves you to the first field that needs work and names what is missing, such as Pick a start time. The sheet also checks these fields:
- In person and Hybrid need a Venue.
- External link, and Hybrid with A link, need a Meeting link that starts with https://.
- A ticket choice under Access settings needs a Ticket price between $1 and $10,000.
- A Custom length needs an Ends time as well as Starts.
Add sessions shows a Pro badge
Multi-session events are part of Pro. On Free, Add sessions carries a Pro badge, and the note under the buttons reads Multiple sessions require Pro. Existing sessions can still be edited. Selecting the button opens Locker subscription under Admin, then Settings, where only the owner can change the plan.
Create event still publishes a one-session event on any plan. In the builder on Free, Add session, Add day, and Add track stay greyed out with the same note. A multi-session event made while the Locker was on Pro stays editable, and it can gain sessions again once the Locker is back on Pro.
The Live room tile says Setup or Off
The Live room format needs Pro and an active Live hosting add-on. Setup means Live hosting is not active for your Locker, and the note under the tiles reads Live hosting is not ready for this community. Off means Live is unavailable on the Lockers side, and the note names the reason, such as Live events are temporarily unavailable.
For Setup, the owner buys a Live hosting bundle under Admin, then Settings, then Live hosting, on a Pro Locker. Your Locker settings cannot clear Off, so choose In person, External link, or Hybrid with A link for now. On a hybrid event, the Live room chip under Online people join in is greyed out for the same reasons.
Live stream says Soon
Live stream, a one-way broadcast where viewers watch only, is not available yet. Its tile shows Soon and cannot be selected, and on a hybrid event the Live stream chip is greyed out.
Pick another format. If you stream on another service, choose External link and paste the stream's address as the Meeting link, which has to start with https://. Only people who can attend see that link, as Open link in the Where card of the event page.
The ticket choices are greyed out
Selling tickets needs payments that are ready, and only the owner can set them up. Until then, both ticket choices under Who is this event for? are greyed out, and the note under them gives the reason.
- Set up payments to sell tickets. Payments are not ready. The owner finishes Stripe setup under Admin, then Sales, then Payments, and the choices open once that screen shows Ready to receive payments.
- Connect a Stripe account that is ready to accept payments before selling an event. This event already sells tickets, and payments are not ready now. The same setup fixes it.
- Selling is not available yet. Existing purchases remain accessible. Lockers has paused new sales, and people who already bought keep their access.
- Everyone buys a ticket is missing: your community charges for membership, and members of a paid community always attend free.
Guests cannot open the page or register
Two settings decide what a guest can do: Who is this event for? and Who can see the page? The Details card on the event page reads them back as Access and Page.
- Page reads Members only: only community members can open the page, so guests never reach Register.
- Access reads Free for members while Page reads Anyone with the link or Public: guests can open the page, and it gives them no Register button.
- Only members is greyed out: a choice that admits guests needs a page they can open, so that card reads Off, because guests need to open the page to sign up.
- A ticket event shows guests no ticket button: payments are not ready under Admin, then Sales, then Payments.
- Guests see Sign in to register: they are signed out, and registering needs a free Lockers account.
- The event is still a draft, or it has ended. Only you and admins can see a draft, and registration closes when the event ends.
A change did not save, or Publish event is greyed out
The builder saves each change on its own, and the red bar names what stopped a save.
- Give the session a title. The session's Title is empty.
- Check the start and end times. Ends is not later than Starts in the session panel.
- Choose up to six active members of this community as hosts. A host has left or was removed from the community.
- The last session cannot be deleted. Delete the event instead. Use Delete event in the Event actions menu on the event page.
- A change did not save. Fix it above, then publish. The last save failed, so fix the field named in the red bar and select Publish event again.
- Publish event is greyed out: an item on the Review checklist still needs work, and the line under the button reads Finish the items above to publish. Select Edit on that item to open its step.
The announcement did not post
When the post goes out, the Published banner shows Announced in Community, with a View post link. When the banner has no such line, one of these is the cause:
- The event was made with Create event. A one-session event from the New event sheet publishes at once with a notice to members and no announcement. Announce it in Community is on the builder's Review step, which Add sessions opens on Pro.
- Announce it in Community was off when you selected Publish event.
- Write the announcement, or turn it off. The switch was on with an empty text box, so the event did not publish yet. Add the text or turn the switch off, then publish.
You cannot change the format
The format is set when you select Create event or Add sessions. Edit opens the builder, where the Details step changes fields such as the Description, Venue, Meeting link, and Time zone, and it offers no format choice. Lockers also refuses a move between in person, online, and hybrid once anyone has registered.
To change where it happens, edit the Venue or the Meeting link on Details, and registrations stay as they are. For a different format, create a new event in that format and send its link to the people registered for the old one. Deleting the old event removes its sessions and registrations, and purchases are not refunded automatically.
A session will not change while it is live
While a session is live, Lockers blocks changes to its start, end, kind, and where it happens, and the builder shows End the live session before changing its format or schedule. The recording switch locks once the session starts, and the session panel reads Recording settings lock once the session starts.
Changes to the title and hosts still save. To move the times, end the session first with End session in the room, then edit it in Schedule. Ending closes the room and its chat for everyone, so wait for the session to finish if people are still in it.
Times look wrong
Each event has one Time zone, and the New event sheet starts it at your device's zone. The event page shows times in each viewer's own zone with the zone's short name beside them, and the builder shows times in the event's zone. The two differ whenever you are away from the event's zone.
On a multi-session event, the agenda offers Your time and Event time when those zones differ. If the event's zone itself is wrong, change Time zone on the Details step. Each session keeps the same moment, so its clock time changes to match the new zone. Open Schedule afterward and set each session back to the time you meant.
A start time inside the hour that a daylight saving change skips stops with this message: That time is skipped by a clock change in this time zone. Pick another time.
Calendar apps still show the old time
Add to calendar saves a copy of the event as it was at that moment. Lockers has no calendar sync, so changes you make later do not reach entries people already added. A one-session event offers a Google Calendar link, and every other choice downloads an .ics file with every session.
The event page always shows the current schedule, and each calendar entry links back to it. After a change, tell people on the event wall or in Community, and ask them to add the event to their calendar again.
Reminders are paused or did not arrive
While Lockers has reminder delivery paused, the pass drops its Email reminders switch and shows this line in its place: Email reminders are paused for now. The register sheet hides the reminder choice too. Lockers controls this pause, so no setting in your Locker changes it, and the switch returns when delivery resumes.
If delivery is running and one person missed a reminder, check whether they turned reminders off. People do that with Turn off email reminders in Manage or the switch on their pass, and the unsubscribe link in a reminder email does the same for that event only. On a multi-session event, the 15-minute reminder goes only for sessions the person picked. Turning Email reminders back on from the pass starts them again.
An attendee cannot cancel their registration
A ticket follows its payment, so people who bought one cannot cancel from their pass. In their Manage menu, this line replaces Cancel my registration: Contact the host for a ticket refund.
Open the People tab to confirm it, where a ticket holder's row is labeled purchase. The owner refunds the payment under Admin, then Sales, then Payments, with Refund payment in Orders and refunds. A full refund removes the ticket and the registration. Members and free guests cancel on their own from Manage.
Someone cannot switch between in person and online
On a hybrid event, each person picks In person or Online under How you'll attend on their pass and can switch until the first session starts. The choice locks then, or sooner if a Live room session has already gone live, and the message reads Attendance cannot be changed after the event starts.
There is no staff control for changing it. The choice sets the In person and Online counts on the Who's going card, and someone who picked In person still gets Join on a Live room session.
Attended stays at 0 on the People tab
Attended counts come only from Live room sessions, so an in-person or external-link event shows registrations only. Lockers has no check-in for people at a venue. Use the Registered count on the Who's going card, which also splits into In person and Online on a hybrid event.
