Use Lockers
Find members and follow up in People
Search a Locker's members, see why they have access, and keep private staff notes and follow-ups.
The short version
- People is under Admin for the Locker's owner and current admins, on Community and Pro. It used to be called Audience.
- Search by name or email and open Manage member to see status, access, notes, and follow-up in one panel.
- Notes, tags, follow-up dates, and saved views stay private to staff. They are not in the community export or the customer API.
Before you start
You need to be the owner or a current admin of the Locker. People is on Community and Pro, and it stays available whether or not the Locker is taking new course sales or paid memberships.
Members do not see People. The member directory they open is still the member-facing directory with photos and roles.
Open People
People has four tabs. Members lists people who have a membership. Requests holds join requests in a Locker where join approval is available and turned on. Contacts holds imported contacts, who are not members. Invitations holds pending invitations. On a narrow screen, pick the tab from the People section menu.
- 1
Open Admin
Open your Locker and select Admin.
- 2
Select People
The screen is titled People, with the line Find a member, see their access, and follow up.
Members, status, and activity
Search by name or email. The Status filter starts at Active, and you can show Left, Removed, Banned, or All statuses. Other filters cover when someone joined, inactivity, whether activity is known, tag, course, and course access.
If Lockers has no recorded activity timestamp, that row is unknown. Unknown is not the same as Inactive for 30 days, and unknown activity cannot be combined with an inactivity period. Built-in views:
- All active members
- Joined this week
- Inactive for 30 days
- Due follow-ups
- Purchased but not started, on Pro, after you choose a course
Open a member
Selecting a member opens Manage member, the private admin record for this Locker. On a wide screen it is a side panel with a shareable URL. On a small screen it is a full-width view. Closing it keeps your search, filters, and place in the list.
The Membership tab shows identity, role, whether the member receives optional announcement emails, community access, tags, follow-up, private notes, and actions such as Start chat. The Courses tab explains access to each course. Access reasons use the same rules that grant or withhold community and lesson access.
The owner also sees a Payments tab with that member's course, membership, and event payments and their amounts. Admins see the access outcome, not payment amounts. On Pro, the Courses tab includes detailed learning progress. If the Locker is not on Pro, Purchased but not started is unavailable, and the reason shown is: Purchased but not started requires Pro for this Locker.
Roles, removals, and restores also happen in this panel. Manage member roles, access, and who can post covers those.
Private notes and one follow-up date
Notes are plain text. Only the Locker's current owner and admins can read them. The author can edit or delete their own notes. The owner can delete any note.
Each member has one follow-up date, shared by the staff. A current admin can set or move it, and can clear it when the follow-up is done. Due follow-ups lists due and overdue members in the app. Lockers does not send email or push reminders for that date.
- 1
Save a note on the member record
Open the member, type in Private notes, and select Save note. Notes can contain up to 5,000 characters. Record the context another admin would need to continue the conversation.
- 2
Choose a follow-up date
In Follow-up, pick the Follow-up date and select Save follow-up. Saving a new date replaces the previous one.
- 3
Return when the follow-up is due
Open the Due follow-ups view and select the member. After you follow up, select Mark done to clear the date, or save a later date if more work remains.
Other admin screens
People is the main staff place to find a person. Other work stays in its own section: Students under Courses for enrollment work, Moderation under Community for reported content, and Selling and payments under Sales for owner payment actions.
What People does not include
People does not send email campaigns or score leads. The Contacts tab stores imported contacts without making them members or emailing them. Existing customer API keys do not receive private notes, tags, follow-up dates, or saved views.
The community ZIP export also leaves those private records and imported contacts out.
If an account is deleted
Deleting a member's account removes the private records about that member: notes, tag assignments, and the follow-up date.
If an admin's account is deleted, notes they wrote can remain on the member record with the author name removed. Current staff can still read those notes. Only the owner can delete them, and nobody can edit them. If that admin created a saved view, the owner can still edit or delete it.
If something is missing
- Confirm that your role in this Locker is owner or admin. A former admin loses People as soon as that role ends.
- If Purchased but not started is unavailable, the Locker needs Pro and a selected course.
- If a saved view is unavailable, the tag or course it used may have been removed, or a Pro-only filter may no longer apply.
- The Payments tab and payment amounts appear only when you are signed in as the owner.
